Setting Up Carrier Distribution Rules
Learn how to manage your distribution list so RFPs send themselves. This guide shows you how to set up simple rules that automatically select the right reps based on benefit type, state, group size, and office—plus how to adjust or add contacts on the fly.

Managing Your Distribution List in Plansight

The distribution list is where your RFP starts to work for you. With the right setup, Plansight automatically knows who should receive each RFP based on the details of the case—benefit type, state, group size, and even the regions or offices within your organization. The goal is simple: make sure the right people get the right opportunities without any extra effort.


How automatic distribution works

After you complete the initial steps of creating an RFP, you’ll land on the distribution list. If you’ve created preset rules, the list will often populate on its own. You’ll see contacts already selected because their rules match the specifics of the RFP you’re building.


These rules live under Carriers → Carrier Reps, where each rep can have conditions that tell the system when they should be included.

Building rules that fit your workflow

Each rep can have one or more rules that define when they should be added. A rule can be based on:


  • Benefit type
  • State
  • Market size or employee count
  • Office
  • Any combination of the above



For example, you might have a rule that says a rep should receive all RFPs for a certain benefit line in certain states, or only when the group falls within a specific size range. When your RFP matches those conditions, they’re automatically added.


Making updates as you go

If you haven’t set up presets yet, or if an RFP needs something different, you can update the distribution list on the fly:

  • Add existing contacts
  • Remove contacts you don’t need
  • Enter a new rep by typing in their name and email


Just make sure the email domain matches the carrier’s authorized domain when adding a new contact.


Once a rep is added, you can always create rules for them later so future RFPs select them automatically.
