Plansight stores every small group census you give it. Each one is kept for the employer, not just for one renewal. Each time rates run, Plansight saves the census they were built on, so you can always see what a quote was priced from and go back to it. You can also save your own named versions ("As submitted", "No waivers", "Without the Denver office"), switch a renewal between them any time, and start next year's renewal from this year's census instead of hunting down the file again.
Where to find it
- Employer Profile > Census tab. Every census saved for this employer, who saved it, when it was last used, and which renewals are quoting on it. Use Add Census to put a census here directly, by uploading a file or entering it by hand.
- The census uploader on a renewal. On the Community Rated census step of the RFP Builder (and on the disability census on Plan Details), a panel above the drop zone shows Use this employer's census, or Census on this renewal once one is in use.
- The census review grid. Open View / Edit Census and you'll find Save As and Use saved census beside Calculate Rates.
- The Community Rated comparison header. Under the rates, a line reads Rates last run with the date and who ran them, then Census: with the name of the census those rates came from, and a Change census link.
Save the census you're looking at
- On the renewal, open View / Edit Census. It opens locked, so nothing changes while you look.
- Click Save As. You don't need to unlock the census first.
- Give it a name you'll recognize later, like "No waivers", and click Save.
Save As keeps a copy for the employer and changes nothing else. The renewal stays on the census it had, and no rates run. This is the way to try a variation: unlock with Edit census, remove two waivers, then Save As to keep that version beside the original rather than in place of it.
Switch a renewal to a different census
- Click Change census in the rates header, or Use saved census in the review grid, or Use on a census in the uploader panel.
- Pick a census in Use a saved census and click Continue. Your named censuses are listed first, with automatic backups after; the one this renewal already uses is tagged in use here.
- In Match the plans, choose which of this renewal's plan options each plan in the saved census becomes. Plan option 2 last year isn't necessarily option 2 this year, so Plansight asks rather than guesses. Anyone waiving carries across with no plan.
- Click Use this census. The census opens in the review grid with the usual checks, so you can look it over first.
- Click Calculate Rates to put it on the renewal and re-run rates.
Nothing on the renewal changes until you click Calculate Rates. Close the grid before then, and the renewal is exactly as it was.
Good to know
- Putting a census on a renewal always re-runs rates. This is true whether you upload a file, enter one by hand, or switch to a saved version. Community Rated pricing is built from the people on the census, so a different census can mean different rates, including the composite. While the new rates are running, the header says Recalculating rates for this census; it never shows the old run's numbers as if they belonged to the new census.
- Saving never re-rates. Save As, Save census on a stored census, and Add Census on the Employer Profile keep a census for the employer. No renewal changes and no rates run.
- Census Modeler scenarios belong to the census on the renewal. When a renewal moves to a different census, by upload or by switching, the Census Modeler scenarios built on the previous one are cleared, because they refer to specific people who may not be on the new census. The census itself is kept. If you're about to switch, finish or note your scenarios first.
- Automatic backups. Every rate run saves the census it priced, named like "Rated 14 Oct 2026", and clearing a census saves one named like "Replaced 14 Oct 2026". Plansight keeps the 10 most recent automatic backups per employer. Censuses you name are never removed automatically, and neither is any census a renewal is quoting on.
- Employee Navigator pulls are kept too. Each pull is saved as a census named "Employee Navigator" plus the date, so you can look at it before deciding to use it. Pulling the same day again refreshes that copy, unless a renewal is already quoting on it, in which case the new pull is kept beside it.
- A census a renewal is quoting on is protected. Delete is unavailable and tells you which renewal is using it; move that renewal to another census first. If you edit one that's in use, Plansight asks you to Save as new census so the renewals priced on the original stay accurate.
- A stored census doesn't have to be finished. When you open one from the Employer Profile with View/edit, the button at the end is Save census, not Calculate Rates. Validation still shows what needs attention, and it doesn't block the save. The full checks apply when the census goes onto a renewal.
- Ages follow the renewal. A census kept for the employer has no effective date of its own. Ages at the effective date are worked out when you put it on a renewal.
- Every census list shows who's on it, employees and dependents, enrolling and waiving, so "26 employees, 9 waiving" and "26 employees, none waiving" are easy to tell apart.
- Medical and disability stay separate. The disability uploader only offers disability censuses, and the medical one only offers medical. The rates header names the medical census.
- Don't see the Census tab? Saved censuses come with Plansight's new census importer. If your brokerage doesn't see the tab on the Employer Profile, reach out to support.
One census, as many versions as you need, and a clear record of which one every quote came from. Give it a try on your next renewal.
